How it works

From RFP drop to client handover.

It starts with concierge onboarding — we seed your firm's data — then six steps, the same flow your team already runs by hand, but with AI doing the first 70% and the system catching format-compliance errors before they cost you the bid.

00

Before you start: we seed your firm

Every engagement opens with concierge onboarding. We sit with your data — past proposals, project portfolio, team CVs, brand voice, and the client templates you bid into — and load it into your workspace, so the AI drafts are grounded in YOUR firm from the very first tender, not a blank page.

Detail · This data-sitting is what makes step 03 land on day one. It's a one-time engagement scoped to your firm — see the Concierge setup page for the full process.

01

Drop in the RFP

Drag any DOCX or PDF tender document into the RFP Parser. TenderWright extracts: project title, client, due date, evaluation criteria with weights, mandatory sections, page limits, key dates, and risk flags. The original file is retained — never discarded — for audit trail and re-download.

Detail · The parser ships with rule-set defaults for NZ, Australia, US Federal (FAR Section L/M), UK, and Pacific donor procurement; the right region is selected during onboarding so the parser picks up the conventions your evaluators actually use.

02

Pick a template, link your team & projects

Choose from 8+ pre-seeded procurement templates (NZ Government RFP, Auckland Council, MFAT, AusTender, US Federal SF 330, plus generic EOI/RFP formats), or upload the client's mandated Word format as a per-proposal binding. Link relevant past projects (you have a project library) and team members. TenderWright auto-suggests projects matching the RFP's discipline keywords.

Detail · Custom DOCX templates: upload once, TenderWright fills every {{merge_field}} from the proposal context. Available to every firm, scoped per proposal.

03

AI drafts every section, grounded in your firm

Click "Generate All" and TenderWright drafts the executive summary, methodology, programme, key personnel, relevant experience, fee approach, risk assessment — using YOUR linked projects, YOUR team CVs, YOUR brand voice. Every numeric claim, project name, and standards reference is traceable to your data.

Detail · Press ⌘I in any section for a free-form AI rewrite with diff. Select text → toolbar appears with Improve / Shorten / Bulletize / Cite-a-project. Type "/" at line start for slash commands.

04

Compliance + readiness check

Open the Submission Readiness modal. See content gaps, format violations (page limit, font, mandatory sections), AI fabrication scan results, full compliance matrix breakdown by category, days until due. Fix before download.

Detail · Fabrication scanner catches placeholder leaks ([Lead Engineer], "Lorem ipsum", "TBD") that the AI sometimes returns despite instructions — never silently accepted.

05

One-click submission package

Hit "Submission Pack". One ZIP downloads with: proposal in client's required Word format, branded PDF, fee schedule (Excel), compliance index (CSV), source RFP, manifest + audit JSON. Hand it to the client.

Detail · For interactive proposals, "Publish Web Link" generates a shareable URL with engagement tracking — see when the client opens each section.

06

Win/loss + intelligence loop

Mark proposals won/lost as results come in. After 3 resolved proposals, TenderWright predicts win odds for new proposals. Log bid results to track competitor win rates and fee gaps. Lessons learned get harvested back into the content library.

Detail · Cold-start honest: until you have data, TenderWright says "insufficient data" rather than fabricating a 50% win rate from thin air.

Walk through it on your tender.

Once your firm is seeded, a grounded first draft is minutes, not days. Book a demo and we'll walk the whole flow through on your actual tenders.
